Managing Your Account – Supervisor

Supervisor users can manage the features and functions of your Interview Exchange Performance Evaluation System account from any computer that is connected to the Internet.

Supervisor users can access the system using his/her unique User ID/login from any Internet-connected computer. User ID is an email address. The password must be six to 10 characters with at least one number and no special characters, e.g.,!@#$%^&*()_+

Note: Once an account has been created by the Super Admin user, you will receive an email with your account login and temporary password for registration. You can change the password on the Registration page. After you create a new password, the system sends you an “Account Update” email. You can reset and retrieve your temporary password via email at any time by clicking Forgot Password.

After login, you arrive at your personal user console (see below). From this screen you can manage all activities authorized for your account.

Enables you to create and customize an Evalutaion Form for your employee.

Appropriate template Forms are available via Template lists and are originally created by your HR Admin user.

Guest ReviewDisplays any new Forms that need your attention, e.g., you may have been invited to review an evaluation Form as 360 Guest Reviewer.

After login, you will arrive at your personalized user console.

The Supervisor user can see one or more Evaluation Forms (created by a HR Admin user). Supervisor can customize an Evaluation Form for any of his/her employee provided those employee user accounts are already in the system. To create a new employee account, contact your Super Admin user.

Since each of your employee job responsibilities or performance goals may be different, you can edit some sections of the Form. Sections that are common for all employees are not editable by Supervisor/Manager users. You can input your comments in those section questions/answer fields with appropriate assessment/competency/recommendations.  

As a Supervisor, after completing all sections of the employee’s Evaluation Form, click Complete Form. You will be directed to Approver list page where you can add your employee’s name as the first user to review and acknowledge the Form, and add your name as second user in the evaluation routing chain. HR Admin user may have already added other approvers in the list. By clicking Send for Routing, you start the Evaluation Form routing process. Your employee will be alerted by an email to review and then acknowledge the Form.  After the employee has completed his/her review and clicked Acknowledge, the system will alert you by email that this employee has completed the Form.

Now you can review and click Acknowledge Receipt. This automatically sends the Form to your other Approvers (senior management). If the Employee requests a meeting or has written comments about any of your review outcomes/results, you should try to resolve those concerns through discussion with the Employee. You can then revise the Form and send it back to the Employee for review again. After the Employee reviews and acknowledges the Form, you can send same to senior management for further review.

If the Evaluation Form is configured for self-evaluation, the Employee should first complete the Form and send it to you as his/her Supervisor. The Supervisor can now review it and modify if necessary. After discussion with the Employee and final review, then it can be routed to senior management.

If the Evaluation Form is configured for 360 Reviewers, the Supervisor should invite one or more guest reviewers to give feedback about the Employee. Using this reviewer feedback, the Supervisor will complete the Evaluation Form, send it to the Employee for his/her review, and finalize it before routing it to senior management.
